I got volunteered again! Our council wants to have a pinewood derby race open to all scouts in our council. They are expecting 1200-1500 kids. Has anybody ran a race this big before? I plan on breaking it down by ranks. 4 ranks and an open race for boy scouts also. We have 6 hours to run the races. We will probably have 4-6 tracks (could get more) 3-4 lanes on each track. Will take top three from each track and run a final on one track. Will be a timed race. Thinking 3 heats for each car (maybe only 2). Any ideas will be helpful. Worried about: check in time; too many kids to have them get their own cars to hand to a starter so we will need a numbering system for staging area to be able to find cars fast, rule enforcement for check-in (will be PS rules but allow extended wheel base), we will assign a number to a car instead of names (less typing).
Any input would help!!

Any input would help!! We don't have a council race so I have this re-occuring thought of volunteering. The fastest would be to run each car down a single lane of a best track 2 times. Top 12-20 make it to the final race. Folks would know really quick if they made the finals and so they could bolt if they do not want to hang around... You could do this for each rank (on seperate tracks) and have 4-5 final races (one for each rank) and then the top 3-6 from each rank advance to the overall final.. A variation would be each car has 1 or 2 passes down a three lane track. with the top so many advancing to the finals... It would take longer but allow each scout to race in 3-6 races. If you can get three best tracks then you could hold the races in two shifts... Best to publish the track configurations in advance with the oldest scouts getting the best tracks on down to the tigers getting the worse track.. Maybe best to somehow staggger the times folks can arrive... so less crowd to manage... Just thoughts...

that is insane.....how big a facility will you host this event?
Maybe try scheduling times for the kids to show up by rank. Your going to need a huge support staff to heard everyone....how are you going to tech-in 1200 cars?
Has this ever been done before by your council?

Our council has never done this before. I have now found out we have only 7 hours to do this in. Tech in is going to be tough. Will have approx 15 people per rank doing the check in. Looks like we will have 8-10 tracks with timers. Will be racing 2 ranks at once on seperate ends of the facility. 2 times down total, top 20 to the finals, then once down each lane.
Grand champion will be the easiest part, 4 cars, 2 times down each lane, winner gets a big trophy!
Race is in November, so lots of time to prepare!

Wow, can the bldg handle that many all at once? That's a lot of people, cars, potty breaks, etc. You might consider checking in the cars in advance? Maybe not mandatory but seems like it could help. Check your resources, you may have a couple A/V guys who could help with PA systems, cameras, projector screens, who knows - maybe even some cool lighting.
